Why your Word templates keep breaking after handover

Styles that look fine until someone else edits the file. The formatting habits that make a template survive contact with a real team.

A template breaks because it was never a template

Most corporate Word files that get called templates are just documents someone formatted by hand and saved a copy of. The headings are bold text at a bigger size rather than a heading style. The spacing is empty paragraphs. The numbering was typed. Nothing is defined, so nothing can be relied on.

The file survives as long as nobody edits it much. The first person who pastes in a table from Excel, or adds a section in the middle, or opens it on a machine with different fonts installed, watches the layout come apart — and then fixes it by hand, which adds another layer of direct formatting for the next person to fight.

Styles, not spacing

A template that holds is built on styles: a defined hierarchy from heading one down to captions and table text, each with its own spacing before and after, so nobody ever presses return twice to make a gap. Numbering is attached to the heading styles rather than typed, which means a section inserted halfway through renumbers everything below it automatically.

The unglamorous parts matter just as much. Section breaks that let the front matter run on roman numerals while the body runs on arabic. Headers and footers tied to sections rather than pasted. A table of contents that updates from the heading styles instead of being maintained by hand. None of it is visible in a screenshot, and all of it is why the file still works a year later.

What a handover has to include

A template handed over as a single .docx invites people to save over it. We hand over a .dotx so every use opens a fresh copy, along with the styles documented in plain language — which style to use for what, and what not to do. That last part is short and it prevents most of the damage.

We also hand over the editable source and a note on which fonts the file expects, because a template that silently substitutes a font is a template that will look wrong on somebody's machine and nobody will know why. Your team keeps filling the template in without a designer in the loop; that is the point of building it properly once.
